{"id":162,"date":"2017-04-11T12:27:29","date_gmt":"2017-04-11T11:27:29","guid":{"rendered":"http:\/\/vger.datos.co.uk\/ClientKnowledgebase\/?p=162"},"modified":"2017-04-11T12:27:29","modified_gmt":"2017-04-11T11:27:29","slug":"how-to-setup-and-email-statements-in-season-office","status":"publish","type":"post","link":"https:\/\/vger.datos.co.uk\/Clientknowledgebase\/?p=162","title":{"rendered":"How to Setup and Email Statements in Season office"},"content":{"rendered":"<h2>Setting up a Customer for Emailing of\u00a0Statements<\/h2>\n<p>You will need to ensure that your Email settings are setup on your PC. <a href=\"http:\/\/vger.datos.co.uk\/ClientKnowledgebase\/?p=136\">Click here<\/a> to see how this is setup.<\/p>\n<h3>Setting up the customer contact to receive Statements\u00a0via email<\/h3>\n<ul>\n<li>Ensure that a contact has been setup.<\/li>\n<li>Ensure that the \u2018Statements\u2019 checkbox is ticked as shown below.<\/li>\n<li>Enter in a valid email address in the email address field, as shown below.<\/li>\n<\/ul>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-48610 aligncenter\" src=\"https:\/\/vger.datos.co.uk\/ClientKnowledgebase\/wp-content\/uploads\/2017\/04\/Untitled.png\" alt=\"\" width=\"828\" height=\"576\" \/><\/p>\n<h3>Setting up the customer to receive Statements\u00a0via email<\/h3>\n<ul>\n<li>Ensure that Statements Sent By is set to &#8216;Email&#8217;, as shown below.<\/li>\n<li>Now save the changes to the customer by pressing F2, or the save button at the top.<\/li>\n<\/ul>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-164 size-full\" src=\"http:\/\/vger.datos.co.uk\/ClientKnowledgebase\/wp-content\/uploads\/2017\/04\/statement1.png\" alt=\"\" width=\"841\" height=\"554\" \/><\/p>\n<p><strong>This customer will now be setup to Email Statements, so this process has to be followed for any customer you want to email statements\u00a0to.<\/strong><\/p>\n<h2>Emailing Statements<\/h2>\n<ol>\n<li>Go to the Document Communication Centre, as shown below. Sales Ledger-&gt;Document Communication Centre.<\/li>\n<\/ol>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-medium wp-image-121 aligncenter\" src=\"http:\/\/vger.datos.co.uk\/ClientKnowledgebase\/wp-content\/uploads\/2017\/04\/email4-181x300.png\" alt=\"\" width=\"181\" height=\"300\" \/><\/p>\n<ol start=\"2\">\n<li>In here you can edit the default Statement\u00a0text for the email as shown below.<\/li>\n<\/ol>\n<ul>\n<li>Click on <strong>utilities<\/strong>.<\/li>\n<li>Click on <strong>Edit Default Statement\u00a0Text.<\/strong><\/li>\n<li>Enter your admin password.<\/li>\n<\/ul>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-48611 aligncenter\" src=\"https:\/\/vger.datos.co.uk\/ClientKnowledgebase\/wp-content\/uploads\/2017\/04\/Capture-4.jpg\" alt=\"\" width=\"1117\" height=\"330\" \/><\/p>\n<ol start=\"3\">\n<li>This will bring up the screen shown below.<\/li>\n<\/ol>\n<ul>\n<li>In here you can edit the default text for the subject and body of the email.<\/li>\n<li>Save the changes by clicking the save button.<\/li>\n<\/ul>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-48612 aligncenter\" src=\"https:\/\/vger.datos.co.uk\/ClientKnowledgebase\/wp-content\/uploads\/2017\/04\/Capture-5.jpg\" alt=\"\" width=\"690\" height=\"575\" \/><\/p>\n<p>&nbsp;<\/p>\n<p>4.\u00a0To send the statements within the document communication centre, follow the below steps.<\/p>\n<ul>\n<li>Click on the statements tab.<\/li>\n<li>Then click on the Email statements button (This will load a list of all customers setup to email statements)<\/li>\n<li>You now need to select the customers that you want to send statements to, or select all.<\/li>\n<li>Then click the OK button to send the statements via email.<\/li>\n<\/ul>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-48613\" src=\"https:\/\/vger.datos.co.uk\/ClientKnowledgebase\/wp-content\/uploads\/2017\/04\/Untitled-1.png\" alt=\"\" width=\"898\" height=\"530\" \/><\/p>\n<h2><strong>Branch Statements<\/strong><\/h2>\n<p>You also have the option to email branch statements.
