{"id":986,"date":"2017-05-03T09:15:08","date_gmt":"2017-05-03T08:15:08","guid":{"rendered":"http:\/\/vger.datos.co.uk\/ClientKnowledgebase\/?p=986"},"modified":"2017-05-03T09:15:08","modified_gmt":"2017-05-03T08:15:08","slug":"how-to-setup-a-new-telesales-operator-in-season-office","status":"publish","type":"post","link":"https:\/\/vger.datos.co.uk\/Clientknowledgebase\/?p=986","title":{"rendered":"Setting up Telesales"},"content":{"rendered":"<p>The Telesales Module allows you to set up daily call lists and have Telesales Operators call customers to take orders.<\/p>\n<h2><strong>Setting up Telesales Operators<\/strong><\/h2>\n<ol>\n<li>Click on the Season Icon-&gt;Setup Office-&gt;System Settings and Default Codes<\/li>\n<\/ol>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-919 size-full aligncenter\" src=\"http:\/\/vger.datos.co.uk\/ClientKnowledgebase\/wp-content\/uploads\/2014\/09\/SystemSettingAndeDefaultCodes122.png\" alt=\"\" width=\"497\" height=\"372\" \/><\/p>\n<ol start=\"2\">\n<li>Click on the General -&gt; Master Codes Tab<\/li>\n<li>Click on the unlock icon in the bottom right and log in with your admin password.<\/li>\n<\/ol>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-979 size-full aligncenter\" src=\"http:\/\/vger.datos.co.uk\/ClientKnowledgebase\/wp-content\/uploads\/2017\/04\/mastercodes.png\" alt=\"\" width=\"838\" height=\"609\" \/><\/p>\n<ol start=\"4\">\n<li>In the &#8216;Code Types&#8217; grid, scroll down until you reach TELEUSER.<\/li>\n<\/ol>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-987 size-full aligncenter\" src=\"http:\/\/vger.datos.co.uk\/ClientKnowledgebase\/wp-content\/uploads\/2017\/04\/telesales-operator.png\" alt=\"\" width=\"837\" height=\"611\" \/><\/p>\n<ol start=\"5\">\n<li>Within the &#8216;Validation Codes&#8217; grid tab across onto a new line and enter in your new code and description.<\/li>\n<li>Tab onto another line and that will save the new telesales operator.<\/li>\n<li><strong>Close out of Season and re-load it to initialise the new code<\/strong>.<\/li>\n<\/ol>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-988 size-full aligncenter\" src=\"http:\/\/vger.datos.co.uk\/ClientKnowledgebase\/wp-content\/uploads\/2017\/04\/telesales.png\" alt=\"\" width=\"839\" height=\"608\" \/><\/p>\n<p><strong>N.B. It is inadvisable\u00a0to delete previously used telesales operators or change any existing codes as these are required for historical reports in Season. You can edit the descriptions though.<\/strong><\/p>\n<h2><strong>Setting up Telesales Status codes<\/strong><\/h2>\n<p>Telesales status codes are used when using telesales to identify when an order has been taken for a customer or if an order is not taken.<\/p>\n<ol>\n<li>Repeat steps 1-3 as above to open and unlock the system settings screen.<\/li>\n<li>Select TELESTATUS from the &#8216;Code Types&#8217; list.<\/li>\n<\/ol>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-1959 aligncenter\" src=\"http:\/\/vger.datos.co.uk\/ClientKnowledgebase\/wp-content\/uploads\/2017\/05\/code-1.png\" alt=\"\" width=\"826\" height=\"607\" \/><\/p>\n<p><img decoding=\"async\" class=\"aligncenter\" src=\"http:\/\/kitt\/knowledgebase\/wp-content\/uploads\/59917c95276cc25f8c3b4f5a595ae047.png\" alt=\"\" \/><\/p>\n<ol start=\"3\">\n<li>The current Telesale status codes are listed in the &#8216;Validation Codes&#8217; grid.<\/li>\n<li><strong>The Default telesales status codes above should not be deleted as they are needed by the system when processing telesales orders.<\/strong><\/li>\n<li>\u00a0To add a new Telesale status, select a blank line, enter the Code, the press the TAB key and enter in the Description. \u00a0It is recommended that the Code has no spaces in it.<\/li>\n<\/ol>\n<p><img decoding=\"async\" class=\"aligncenter\" src=\"http:\/\/kitt\/knowledgebase\/wp-content\/uploads\/c11ce5b81d2d3e1228a6e6fe2af2caa2.png\" alt=\"\" \/><\/p>\n<ol start=\"6\">\n<li>Press tab to complete the line. You have now entered in a new Telesale Status Code<\/li>\n<li><strong>To remove a Telesale Status Code, select it on the list and press SHIFT+F2. It is not recommended that you remove or rename a Telesale Status Code after the initial setup of the system.<\/strong><\/li>\n<\/ol>\n<h2><strong>Setting up Telesales Call List<\/strong><\/h2>\n<p>Once the Telesales users have been\u00a0set up, the call lists also need to be set up so they can see who to call when doing telesales.<\/p>\n<p>The call list can be set up by Customer or by Operator.<\/p>\n<h3>Setting up call list by Customer<\/h3>\n<ol>\n<li>Go to Sales Invoicing-&gt; Customer Setup<\/li>\n<\/ol>\n<p><img decoding=\"async\" class=\"aligncenter\" src=\"http:\/\/kitt\/knowledgebase\/wp-content\/uploads\/dedad052c574ed386f0352e9ff8bcea2.png\" alt=\"\" \/><\/p>\n<ol start=\"2\">\n<li>Select Utilities -&gt; Setup \u2013 General -&gt; Setup Telesales Call List<\/li>\n<\/ol>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-1960 aligncenter\" src=\"http:\/\/vger.datos.co.uk\/ClientKnowledgebase\/wp-content\/uploads\/2017\/05\/telesales.png\" alt=\"\" width=\"662\" height=\"179\" \/><\/p>\n<p><img decoding=\"async\" class=\"aligncenter\" src=\"http:\/\/kitt\/knowledgebase\/wp-content\/uploads\/aec0aa691fe494a9def10b4bc3171054.png\" alt=\"\" \/><\/p>\n<ol start=\"3\">\n<li>Select the Operator (Telesale user), contact time (Hour and Min), Contact Day and Delivery Day.<\/li>\n<li>The \u2018Call Seq\u2019 is used to allow you to group customers into a sequence for a particular day.<\/li>\n<\/ol>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-1961 aligncenter\" src=\"http:\/\/vger.datos.co.uk\/ClientKnowledgebase\/wp-content\/uploads\/2017\/05\/telesales-1.png\" alt=\"\" width=\"588\" height=\"318\" \/><\/p>\n<p><img decoding=\"async\" class=\"aligncenter\" src=\"http:\/\/kitt\/knowledgebase\/wp-content\/uploads\/1c4c85850f36f0cdc1fed72651cb7494.png\" alt=\"\" \/><\/p>\n<ol start=\"5\">\n<li>If you click on the \u2018Setup Utilities\u2019 button you can set up a customer\u2019s call list using the set up utilities provided<\/li>\n<\/ol>\n<p><img decoding=\"async\" class=\"aligncenter\" src=\"http:\/\/kitt\/knowledgebase\/wp-content\/uploads\/77368d732e97ebf7356a5b30f7de9d36.png\" alt=\"\" \/><\/p>\n<ol start=\"7\">\n<li>For example, if you wanted \u2018John\u2019 to contact the customer at 9:30 every day for an order to be delivered the next day you would fill in the required information about the call time in the Default Settings group and select the \u2018Setup Call List Monday-Friday delivery NEXT day option\u2019.<\/li>\n<\/ol>\n<h3>Setting up call list by Telesale Operator<\/h3>\n<ol>\n<li>Go to Sales Orders &gt; Telesales.<\/li>\n<li>Select Setups &gt; Setup TeleSale List.<\/li>\n<\/ol>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-1964 aligncenter\" src=\"http:\/\/vger.datos.co.uk\/ClientKnowledgebase\/wp-content\/uploads\/2017\/05\/telesales-2.png\" alt=\"\" width=\"1121\" height=\"604\" \/><\/p>\n<ol start=\"3\">\n<li>The window below will appear. You can enter in the day, the customers you want on the call list and the times, delivery date and call sequence.<\/li>\n<\/ol>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-1966 aligncenter\" src=\"http:\/\/vger.datos.co.uk\/ClientKnowledgebase\/wp-content\/uploads\/2017\/05\/telesales-3.png\" alt=\"\" width=\"793\" height=\"461\" \/><\/p>\n<ol start=\"4\">\n<li>Select the Tick Icon to save.<\/li>\n<\/ol>\n<p><img decoding=\"async\" class=\"aligncenter\" src=\"http:\/\/kitt\/knowledgebase\/wp-content\/uploads\/afefb0d1a53a52f30da9ca3a68d63b59.png\" alt=\"\" \/><\/p>\n<h2><strong>Setting a Customer Contact as the Main Telesales Contact<\/strong><\/h2>\n<p>When a Telesale call list is generated, Season will look for the first Telesale contact on a customers contact list and use it as the default Person\/Number to Call.<\/p>\n<p>To set a contact up as a Telesale contact go to Customer Setup.
